The Rental Passport

The eight documents that pass referencing with no UK rental history.

Agents weigh employer, income and guarantor. An NHS contract carries weight. This pack covers all three. Free, for NHS nurses, midwives, doctors and AHPs.

Since 1 May 2026 landlords in England cannot ask for more than one month's rent in advance. The old workaround, six months upfront, is gone. Your documents and your guarantor decide who gets the flat.

The eight documents

    Passport and eVisa share code

    The right-to-rent check. Every adult who will live in the flat needs one. Get the share code at gov.uk/view-prove-immigration-status; it lasts 90 days.

    NHS contract or signed offer letter

    Proof of employment and income. If you have not started yet, the signed offer letter with your start date and pay band is what the agent wants.

    Three payslips, or an HR salary letter if you have fewer

    Ask your trust HR for a letter confirming your job title, salary and start date. Most trusts turn this round in a few days. Ask early.

    Three months of bank statements

    UK statements if you have them. Home-country statements in English are accepted by many agents. A digital bank statement is fine.

    Previous landlord reference, from any country, in English

    An email from any previous landlord saying you paid on time and left the place in good order. It does not have to be a UK landlord.

    UK guarantor, or an insured guarantor service

    A guarantor is a UK resident who promises to pay if you cannot. No UK guarantor? See the next section.

    Employer reference contact

    A name and email in HR or your line manager who will confirm your employment when the referencing company asks. Warn them it is coming.

    A short cover note

    Five lines: who you are, where you work, when you can move, who is moving with you, and that your documents are ready. Agents read it.

If you have no UK guarantor

An insured guarantor service can stand in for a UK guarantor. You apply online, show income of roughly twice your share of the rent, and name a co-signer, who can live abroad. The service charges a fee, usually a percentage of the annual rent, which you can split over months. Most agents accept it.

The timeline

Trust accommodation usually ends between week 8 and week 12. This plan gets you keys by week 8.

  1. Week 1Gather the eight documents. Ask HR for the salary letter and warn your reference contact.
  2. Week 2Decide the guarantor route: a UK guarantor, or the insured guarantor option.
  3. Week 3 to 4Send an enquiry. We introduce you to the agent and viewings are booked 10 to 15 minutes from your hospital.
  4. Week 5 to 6Viewings. Choose a flat. Pay the holding deposit (at most one week's rent, taken off your first payment).
  5. Week 7 to 8Referencing runs on the pack. Contract signed. Deposit (at most five weeks' rent) and first month paid. Keys.

Four rules that protect you

  • Rent in advance: at most one month.
  • Deposit: at most five weeks' rent, protected in a government scheme within 30 days.
  • Fees: no admin, referencing or holding fees beyond one week's rent, refundable.
  • Notice: new tenancies are periodic. You can leave with two months' notice.
